# Format and arrange a table

> Show numbers as currency or percentages, set decimals, color and bold rows, and see why numbers turn green or red. Also color a Dimension's items, change date headers, show or pin total columns, hide or reorder rows and columns, resize or pin (freeze) columns, and show values in thousands with Ari.

Use this guide to make a table easy to read: money as currency, margins as percentages, section rows in bold, and the columns your readers need first. Most formatting changes only how the table looks; it never changes a number. To learn which settings belong to a table and which to a Variable, read [Pages, Table blocks, and Canvas blocks](/concepts/pages-and-blocks.md).

You need a desktop browser and edit access to the Page. Formatting lives in the right-click menu: right-click a row name, a column header, or a cell, and choose **Format and display**. On a Mac, **Control**-click works too.

## Show numbers as currency, percentages, or decimals

**Ask Ari**

> On the P\&L table, show Revenue and Gross Profit as currency with no decimals, and Gross Margin as a percentage with one decimal.

**By hand**

**1. Open the menu**

Right-click the row name, such as Revenue, and choose **Format and display**.

**2. Choose a format**

Choose **Format**, then **Auto**, **Number**, **Currency**, **Percentage**, **Integer**, or **Multiple**. After **Currency**, choose the currency under **Currency**, such as **USD (\$)** or **EUR (€)**.

**3. Choose the decimals**

Choose **Precision**, then **Default**, **1**, **1.0**, **1.00**, or more decimal places, up to five.

**Format** and **Precision** apply to this table only, at the place you right-clicked: the row, the column, or the cell. A cell's own setting wins over its column's, and a column's wins over its row's. To remove the setting, choose **Format**, then **Reset**.

Two choices reach further. The currency you pick applies to the Variable on every table. **Date** in the **Format** list makes the Variable a date Variable everywhere, with a calendar in its cells.

A format changes only how numbers look. A row shown as a percentage on one table still adds up in totals; see [Percentages and ratios are not added up](/concepts/totals-and-rollups.md#percentages-and-ratios-are-not-added-up).

## Show numbers in thousands or millions

cfo.ai has no format that shows numbers in thousands or millions. Ask Ari for a Variable that divides by 1,000, such as Revenue (thousands).

## Format several rows at once

Select several row names: drag down the row-name column, or press **⌘ A** to select the whole table. Right-click one of the selected row names. The menu entry reads **Format \[N] variables** and applies to every selected row.

## Color, bold, and indent rows

In **Format and display**, choose **Background** to fill the row, column, or cell with a color, or **No fill** to remove it. Choose **Text style** for **Bold**, **Italic**, **Underline**, or **Strikethrough**. On a row, **Indent** and **Outdent** move the row name in or out, as in an income statement. **Reset formatting** removes everything set at that place on this table.

These settings belong to this table, so the same Variable can look different on another table.

### Color the cells you type into

cfo.ai does not color typed-in cells automatically. It marks a cell that holds its own value with a dashed underline; see [See whether a number is typed or calculated](/guides/enter-values.md#see-whether-a-number-is-typed-or-calculated). To color your inputs, select those cells or rows and set a **Background**.

## Why a number is green or red

Numbers turn green or red only in comparison columns: **Variance** and **Variance %**. Green means the change is good and red means it is bad, and an increase shows a **+**. Plain values are never colored by their sign.

Which direction counts as good is a setting on the Variable, so it applies on every table:

1. Right-click the Variable's row name and choose **Format and display**.
2. Choose **Variance colors**, then **Higher is better** or **Lower is better**.

New Variables use **Higher is better**. Set **Lower is better** for costs, so spending less than the plan shows green. To add comparison columns, see [Compare Scenarios side by side](/guides/compare-scenarios.md). For the colors in the formula editor and on items, see [What colors and marks mean](/reference/table-blocks.md#what-colors-and-marks-mean).

## Color a Dimension's items, or show them as plain text

Right-click the Dimension's label row, such as **DEPARTMENT** above its items, or right-click one of its items and choose **\[Department] dimension settings**. Then choose **Format and display**.

Choose **Dimension color** to set the color of the Dimension's item pills on every table. Choose **Display as** to show the items as a **Pill** or as **Plain text**; that choice applies to this table, and only in your browser.

## Change how dates read in the headers

Right-click a date header, choose **Format and display**, then **Date format**, and pick a style such as **Abbreviated** (`Sep-26`), **Full month** (`September 2026`), or **Compressed year** (`Sep ’26`, or `W35 ’26` for a week). The style applies to this table. Every style, at every grain, is listed in [Date formats](/reference/table-blocks.md#date-formats).

## Show, hide, or pin total columns

A total column, also called a summary column, sits at the end of each group of columns and summarizes the cells shown in that group, such as each region's months. It is different from a parent row that adds up the rows beneath it; see [Totals, aggregation, and time rollups](/concepts/totals-and-rollups.md).

* To show or hide them, open the table's **…** menu, **Table block settings**, and choose **Show total columns**.
* To keep them beside the row names while you scroll, choose **Pin total columns** in the same menu.
* To choose what a total column shows, right-click its header and choose **None**, **Sum**, **Average**, **Minimum**, **Maximum**, **Count**, or **Last**. Only summaries that fit the Variables are offered. The header names the choice, such as **SUM**, **LAST**, or **TOTAL** for **None**.
* To show only a group's total, select the arrow in the group's header.

The summary choice is saved with the table. **Show total columns** and **Pin total columns** are not saved: a table always opens with total columns shown and unpinned.

## Hide rows and columns

Select **Show table setup** at the left of the table header. In the panel, point at the row or column and select its eye button (**Hide \[name]**). Select it again (**Show \[name]**) to bring it back. Hidden rows and columns keep their settings, and the table hides them for everyone.

Hiding a level inside a group of columns keeps the group's total column, so you can hide the months and keep each region's total.

To show or hide the label rows above each Dimension's items, such as **DEPARTMENT**, open **Table block settings** and choose **Show dimension headers**.

## Resize and reorder rows and columns

* To resize a column, drag the right edge of its header. Double-click the edge to fit the column to its content, or choose **Auto-fit all columns** in **Table block settings** to fit every column. Widths are saved for everyone.
* To reorder rows, point at the left edge of a row and drag its grip. Dragging the items of a Dimension puts the Dimension in a manual order; see [Filter and sort a table](/guides/filter-and-sort-a-table.md).
* To reorder columns, drag a column header. Date columns stay in date order.

## Pin (freeze) a column while you scroll

The row names always stay in view while you scroll. To keep another column in view too, such as Department on an employee table, right-click its header and choose **Pin column**. You can also drag the header into the pinned area beside the row names. **Unpin column** releases it. Date columns cannot be pinned. A pin is saved with the table for everyone.

## Flip rows and columns

A table has no transpose button. To flip a table, such as putting the months down the side and the Variables across the top, ask Ari:

> Flip the Cash table so the months run down the rows and the Variables across the columns.

Ari moves the Variables and the dates between the rows and the columns. Moving them changes only the layout; every cell keeps its value. By hand, you can drag an item between **Rows** and **Columns** in the table setup panel. A table must keep all of its Variables on one side, so a full flip is easiest with Ari.

## Change the table's height

Drag the table's bottom edge. Double-click the edge, or select it and press **Enter**, to fit the table to its content again. The height is saved in your browser only.
